iOS Live Activities for Scheduling: Clock In from Your Lock Screen

Opening an app just to clock out of a shift is friction employees don't need — especially in environments where phones stay in pockets or lockers. Kwilio Scheduling eliminates that friction with iOS Live Activities: a persistent, glanceable widget that shows your active shift on the Lock Screen and Dynamic Island, with a one-tap clock-out button.

What Are Live Activities?

Live Activities are a feature introduced in iOS 16.1 that let apps display real-time, interactive information on the iPhone Lock Screen and Dynamic Island — the small pill-shaped sensor area at the top of iPhone 14 and later.

Unlike notifications (which disappear), Live Activities persist for the duration of a session. For scheduling apps, this is ideal: once an employee clocks in, Kwilio starts a Live Activity that stays visible until they clock out.

What the Kwilio Live Activity Shows

When an active shift is in progress, the Kwilio Live Activity displays:

  • Employee name and current shift label
  • Clock-in time and elapsed duration
  • Break status (active break, or time since last break)
  • Clock Out button — tap once to end the shift from the Lock Screen, no unlock required

On the Dynamic Island (iPhone 14 Pro and later), the activity appears as a compact chip while the phone is in use, expanding to a larger card on long-press.

How It Works Under the Hood

When an employee clocks in via the Kwilio iOS app, the app registers a Live Activity with ActivityKit. The activity is tied to the open time entry in iCloud. Kwilio's backend (running in the CloudKit sync layer) updates the activity as the shift progresses.

The clock-out tap sends a kwilio://clockout deep link back to the app, which calls the clock-out flow, ends the time entry, and terminates the Live Activity — all in one tap from the Lock Screen.

Setting Up Live Activities

No setup is required from the manager side. Live Activities are managed entirely by the iOS app on each employee's device.

For employees, the only requirement is:

  1. Enable Live Activities for Kwilio — go to iPhone Settings → Kwilio Scheduling → Live Activities and toggle it on (this is enabled by default).
  2. Allow notifications — Live Activities require notification permission. Kwilio requests this on first launch.

Once enabled, the Live Activity starts automatically at every clock-in.

Dynamic Island and Lock Screen Layouts

Kwilio supports both Live Activity display contexts:

Lock Screen (all iPhones on iOS 16.1+):

  • A banner at the bottom of the Lock Screen showing shift name, elapsed time, and the Clock Out button.

Dynamic Island (iPhone 14 Pro and later):

  • Compact: A small timer showing elapsed shift duration, tucked into the Dynamic Island pill.
  • Minimal: An even smaller indicator when two Live Activities are active simultaneously.
  • Expanded: Long-press the Dynamic Island to expand to a full card with the Clock Out button.

Why This Matters for Your Team

For businesses where phones aren't readily accessible during a shift — kitchens, retail floors, warehouses — the Live Activity means employees can glance at the Lock Screen and confirm their shift is tracking without handling their phone. Clock-out becomes a single swipe-and-tap rather than: unlock → find app → open app → tap clock-out.

Live Activities are available on iOS 16.1 and later. All current iPhones (iPhone SE 3rd gen and newer) support Lock Screen Live Activities. Dynamic Island expansion requires iPhone 14 Pro or later. The feature is included in every Kwilio Scheduling subscription at no additional cost.
